That's why this generator is built around the information people commonly need on an everyday ID card: a name, photograph, identification number, organisation or institution, role or designation, and other details that are genuinely useful for that particular card.
You can create cards for employees, students, visitors, members, event participants and other groups. The right information depends on the purpose of the card — add only the details the card holder or the person checking the card actually needs.
If you plan to print the card, check the final preview carefully before producing multiple copies. Small text, photographs, QR codes and dates can look different when a design is reduced to physical card size.

I work in a government office where badge cards for staff come up regularly, and the usual way of making them — laying everything out in a general-purpose design tool — kept causing the same two problems. Either the finished card didn't match the actual size the office's card printer or PVC card stock expected, or a QR code that looked perfectly fine on screen turned out too small or too low-contrast to scan once it was actually printed. I wanted something that got both of those right by default, without needing to know card-printing conventions in advance.
CR80 — the same dimensions as a standard credit card — is the first size in the dropdown and the one the tool defaults to, because it's what most office and PVC card printers are actually built around; that's not a guess, it's what came up every time I checked a printer or card-stock spec while building this. The other 19 sizes exist because "one badge size fits all" doesn't hold up in practice — a lanyard badge worn all day wants a taller portrait shape, a business-card-style ID wants US or EU business card dimensions, and a large-format event pass needs to be readable from a few feet away, not held close.
QR sizing took more back-and-forth than the card layout did. Getting it right meant printing sample cards at several sizes and actually scanning them with a phone camera afterward, not just checking how the QR looked on screen — a code that scans perfectly on a bright monitor can fail once it's printed smaller or on a glossy card. That testing is where the 13mm × 13mm minimum in the QR troubleshooting section below comes from, along with the automatic QR-size scaling per card size and the contrast guidance for lighter colour themes.
A few things it isn't built for, so you don't find out the hard way: it doesn't connect to an HR or student database, so there's no bulk import for issuing hundreds of cards at once — for that scale, dedicated ID card software with database integration will serve you better. It also doesn't verify who you actually are; anyone can type any name into the form, so a card made here is only as trustworthy as the process the issuing organisation puts around it. And a card printed from this tool has no legal standing on its own — it works well for organisational, educational, and event use, but it isn't a substitute for a government-issued identity document.

Before filling in the generator, I first decide what the card is supposed to accomplish.
An employee card may need a person's name, photograph, employee number and department. A student card may need a student number, institution and academic information. A visitor badge may need a visitor name, date and host or destination.
These cards may look similar, but they serve different purposes. There's no reason to put every possible piece of information on every card — the same principle applies to membership, club, and event-participant cards too.
It's also worth thinking about what happens if the card is lost. Information that's useful internally doesn't necessarily need to be printed publicly on the physical card — see Think About the Information You Put on the Card below.
Each format is designed around a real-world use case, with its own reasoning for what to include — not the same layout with different labels.
The general-purpose format. Photo and QR code occupy the left strip; name, ID number, and optional fields fill the right column — a layout commonly used on visitor badges and internal organisation badges. The QR code sits at the bottom-left because most badge holders clip at the top, so the QR ends up where a handheld scanner can reach it without removing the card from the clip.
Employee cards are generally used for quick identification inside a workplace. A photograph, employee ID, name and organisation are often more useful than filling the card with a long list of personal information.
The logo moves to the top of the left strip, above the photo, and designation/department fields are added by default — that makes it immediately clear who the person is, what their role is, and which organisation they belong to. If the card is used for building access, consider whether an expiry date is useful too; information that belongs in the company's HR system doesn't necessarily need to appear on the physical card. A student card may be used for identification at a campus, library, examination venue, event or other institution-controlled location. Name, photograph, student number, institution name and academic information are usually sufficient — if the card is also used for access or services, a validity date can make it easier to verify.
Layout: portrait orientation, institution name and logo at top, photo centred below, student fields in the middle, QR code at the bottom — because librarians and exam invigilators typically scan cards placed flat on a counter, where the QR is easy to reach without flipping the card.
Visitor badges differ from permanent identification cards because they normally have a limited purpose and lifespan. A visitor name, date, host or destination and an expiry or return indication are often more useful than permanent employee-style information — if the badge is meant to be returned at the end of a visit, make that instruction obvious on the card.
Layout: landscape, QR code positioned prominently on the right so it's visible at a glance when the pass is held up or clipped to a shirt. Useful for conferences, trade exhibitions, and internal event management.
Membership cards — for clubs, associations, gyms, libraries and similar organisations — don't have a dedicated template here, but the QR Code ID Card format covers them well: a membership number, member name, organisation name and validity information make verification straightforward. If you include a QR code, decide exactly what it should provide when scanned rather than adding one simply because the design has space for it.
The usefulness of an ID card depends on the environment where it's used. In a workplace, it helps people recognise colleagues and visitors. In an educational setting, it identifies students and staff. At an event, a temporary badge helps distinguish participants, organisers and visitors.
The card itself shouldn't be treated as proof of identity in every situation. Its reliability depends on the organisation's verification process, how the card is issued, and whether information such as photographs and validity dates are kept up to date.
A QR code doesn't automatically make an ID card more secure. Its usefulness depends on what happens when someone scans it. There are three modes available in this tool:
A QR code can make verification more convenient when it's connected to an appropriate information or verification system — for example, linking to a controlled page the organisation manages, rather than printing every detail directly into the code. That also means the organisation can update what's shown without reprinting every physical card. Avoid putting unnecessary personal information directly inside the QR code.
QR code sizing is automatically adjusted per card size to maintain readability. Before printing a batch of cards, scan a sample from the actual downloaded design — a QR code that reads perfectly on a bright screen may need to be checked again after printing, particularly on a small card or a glossy surface.
An ID card is normally carried in public or semi-public situations, so not every piece of information needs to be printed on it. Before adding a field, ask: does the person checking this card actually need to see this?
If the answer is no, consider keeping that information in the organisation's internal system instead. This is particularly worth thinking about for addresses, personal phone numbers, emergency contacts and other details that could create unnecessary exposure if the card is lost.

Not sure what size your printer takes? Check the card stock packaging — it will list CR80, CR90, or ISO ID-1/2/3. CR80 and ISO ID-1 are the same dimensions, so they're interchangeable.
The most common printing mistake is selecting "fit to page" in the print dialog, which scales the card and makes it the wrong size. Here's what to do instead:
If the card will be produced commercially, check your printer's required dimensions, file format and safe area before exporting a large batch — requirements vary between printer vendors even for the same nominal card size.
